As technology evolves, software providers like Microsoft continually update their offerings to better meet user needs, streamline tools, and enhance security. One such change on the horizon is the retirement of Microsoft Publisher from Office 365 subscriptions. In this article, we’ll break down what this means for you, why it’s happening, and what steps we’re taking at our organisation to align with best practices.

Microsoft’s Decision to Retire Publisher

Microsoft has announced that Publisher will reach its end of life in October 2026. After this date, the application will no longer be included in Office 365 subscriptions, and subscribers won’t be able to open or edit Publisher files (.pub) using the Publisher app. Until then, you can continue using Publisher as you do today, with full functionality and support.

This move is part of Microsoft’s strategy to focus on more modern, versatile tools and reduce redundancy across their suite of applications. Many of the features in Publisher—such as creating flyers, newsletters, brochures, or other publications—can be replicated or even improved upon using other Microsoft 365 apps.

Alternatives to Publisher

Don’t worry; you won’t be left without options. Microsoft recommends transitioning to the following tools, which are already part of your Microsoft 365 subscription:

  • Microsoft Word: Ideal for creating documents with advanced layout options, including templates for newsletters, labels, and certificates. Word’s mail merge feature is particularly useful for personalized publications.
  • Microsoft PowerPoint: Great for designing visually appealing materials like posters, banners, or presentations. Its slide-based format makes it easy to handle graphics and layouts.
  • Microsoft Designer: A newer AI-powered tool that’s perfect for quick, professional designs. It offers templates, image suggestions, and easy customization for social media graphics, invitations, and more.

To prepare, we suggest starting to migrate your existing .pub files now. You can export them to PDF or other compatible formats within Publisher, or open them in the alternative apps mentioned above to recreate and save in more future-proof file types.

Enhancing Security: Our Approach to Blocking Publisher

In line with Microsoft’s recommended security baselines, we’ve implemented measures to block access to Publisher by default in our managed environments. Microsoft highlights that Publisher has a relatively large attack surface, making it a potential vulnerability point. By blocking it proactively, we’re reducing security risks and aligning with Microsoft’s support strategy, especially as the app approaches its end of support.

This baseline security mode is designed to protect against common threats, such as unauthorized code execution or exploitation through outdated features. It’s part of a broader set of configurations that help safeguard your data and devices without compromising productivity for essential tools.

Looking Ahead

These changes reflect the dynamic nature of software ecosystems, where focusing on core, secure tools benefits everyone in the long run. By October 2026, Publisher will be fully phased out from Office 365, so planning ahead will make the transition seamless.
